1. Who we are
This website is operated by Neokalos Pty Ltd, Australia.
If you have any question about privacy, please contact us at warren@neokalos.com.au.
2. Personal information we collect
Information you provide: when you email us, or use our contact form (which opens your own email application rather than sending data to our servers), we receive the details you choose to include — for example your name, email address, company, role and the content of your message.
Technical information: our hosting provider may process standard server logs (such as IP address, browser type, date and time, and pages requested) to operate and secure the website. We do not use analytics or advertising tools, and the website does not set cookies. If we introduce such tools in future, we will update this policy first.
We generally do not seek to collect sensitive information (as defined in the Privacy Act). Please do not send us sensitive information unless we specifically ask for it.
3. How we collect personal information
We collect personal information directly from you when you contact us or engage our services, and automatically through our website infrastructure as described above. If we receive unsolicited personal information, we will handle it in accordance with the APPs.
4. Why we collect, hold and use it
We collect, hold and use personal information to respond to enquiries, to prepare proposals and provide our services, to manage our relationship with clients and suppliers, to operate, maintain and secure our website, and to comply with our legal obligations. We do not sell personal information.
5. Disclosure
We may disclose personal information to service providers who help us run our business (for example email, hosting and cloud providers), to professional advisers, or where required or authorised by law. Our key service providers are website hosting (Vercel Inc.) and our email service provider.
Overseas disclosure: some of our service providers may store or process information outside Australia, including the United States. Where we disclose personal information overseas, we take reasonable steps to ensure the recipient handles it consistently with the APPs.
6. Direct marketing
We will only send you marketing communications where permitted by law, including the Spam Act 2003 (Cth). You can opt out at any time by replying to us or using the unsubscribe option in the message.
7. Security and retention
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. When we no longer need personal information for any permitted purpose, we take reasonable steps to destroy or de-identify it. We keep personal information only for as long as needed for the purpose collected or as required by law.
8. Access and correction
You may request access to, or correction of, the personal information we hold about you by contacting warren@neokalos.com.au. We will respond within a reasonable period and, where we refuse a request, we will explain why and how you can complain.
9. Complaints
If you believe we have breached the APPs, please contact us first at warren@neokalos.com.au with details of your concern. We will investigate and respond within a reasonable time (generally 30 days).
If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) — see oaic.gov.au or call 1300 363 992.
10. Client data in our services
Personal information that clients provide to us in the course of a service engagement is handled under the relevant client agreement and any data processing terms, in addition to this Privacy Policy.
11. Changes to this policy
We may update this Privacy Policy from time to time. The updated version will be published on this page with a new "last updated" date.
